The Outdoor Room Company is a trading name of Dow Enterprises Limited. We value your privacy and are committed to protecting your personal information. This policy explains what we collect, why we collect it, who we share it with, and the rights you have over it.

We handle personal information in accordance with the Privacy Act 2020 and the Information Privacy Principles set out in it.

What we collect

When you enquire with us, request a consult, or use this website, we may collect:

• Contact details, such as your name, email address, phone number and physical address.
• Project information, such as your region, the products you are interested in, notes about your space, site measurements, and photographs of the property where work is proposed or completed.
• Transaction information, such as quotes, orders, invoices and payment records. We do not store your card details.
• Technical information collected automatically when you browse, including your IP address, browser type and version, the pages you visit, and how long you spend on them.
• Marketing attribution information, such as which advertisement, campaign or link brought you to the site.

You do not have to give us your personal information, but if you do not, we may not be able to quote for or carry out work for you.

Why we collect it

We use your personal information to respond to your enquiry, arrange and carry out an onsite consult, prepare and issue quotes, deliver and install the work you have engaged us for, invoice and process payment, provide after sales support and honour warranties, meet our legal and health and safety obligations, and improve our products, service and website.

Where you have opted in, we may also send you marketing about our products and offers. Every marketing email includes an unsubscribe link, and you can opt out at any time.

Cookies, analytics and advertising

This website uses cookies and similar technologies. Some are necessary for the site to work. Others help us understand how the site is used, and measure the performance of our advertising.

Specifically, we use:

• Google Tag Manager, Google Analytics and Google Ads, to understand site usage and to measure which advertisements lead to enquiries.
• Meta (Facebook and Instagram) advertising tools, for the same purpose.
• Campaign parameters stored in your browser, such as the identifiers appended to a link when you click one of our advertisements. These let us connect an enquiry back to the advertisement that produced it.

These providers may set their own cookies and may process information outside New Zealand. You can control cookies through your browser settings, and you can opt out of personalised advertising through the settings offered by Google and Meta. Refusing cookies may mean parts of the site do not work as intended.

Who we share it with

We do not sell your personal information. We share it only where it is necessary, including with:

• Our team members and regional experts, so they can carry out your project.
• Our installers, subcontractors and suppliers, limited to what they need to complete your work.
• Service providers who run our systems, such as our customer relationship management, quoting, accounting, email and website hosting providers.
• Advertising and analytics providers as described above.
• Anyone else where you have authorised it, or where we are required or permitted to do so by law.

Some of these providers store information on servers outside New Zealand. Where that happens, we take reasonable steps to ensure comparable safeguards are in place.

Photographs of completed work

Our terms of trade allow us to use photographs of completed installations in our marketing, provided they contain nothing that would identify you or your property personally. These images are never sold or supplied for any other purpose. If you would prefer we did not photograph your project, tell your expert and we will note it on your file.

How we store and protect it

Your information is held in our business systems, which are access controlled and password protected. We take reasonable technical and organisational steps to protect it against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

How long we keep it

We keep your information for as long as we need it for the purposes above, and for as long as we are required to by law. Records relating to work carried out, including quotes, invoices and warranty information, are kept for the period required for tax, consumer guarantee and building related obligations. Enquiries that do not proceed are kept for a reasonable period and then removed.

Your rights

Under the Privacy Act 2020 you have the right to ask us for a copy of the personal information we hold about you, and to ask us to correct it if it is wrong. There is no charge for making a request, and we will respond within 20 working days.

Complaints

If you are not happy with how we have handled your personal information, please contact us first so we can try to put it right. If you are still not satisfied, you can complain to the Office of the Privacy Commissioner at privacy.org.nz or on 0800 803 909.

Children

Our services are directed at property owners and are not intended for children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

Other websites

Our site links to websites we do not operate, including our finance partner and our gallery and partner programme sites. We are not responsible for the privacy practices of those sites, and we recommend you read their policies.

Changes to this policy

We may update this policy from time to time. The current version is always published on this page, with the date it was last updated shown at the top.
